These terms and conditions govern the provision of painting and decorating services by Mayfair Painters & Decorators (“we”, “us”, or “our”) to you, the client (“you” or “your”). By engaging our services, you agree to be bound by these terms. Please read them carefully before confirming any work.
1. Service Agreement
A binding agreement is formed when you accept our written quotation, either in writing, by email, or by providing a deposit payment. Our quotation sets out the scope of work, materials, timelines, and total cost. Any changes to the agreed scope must be confirmed in writing by both parties.
We will carry out all work with reasonable skill and care, in accordance with recognised industry standards and the Consumer Rights Act 2015. Our team will use premium-quality materials as specified in the quotation and will ensure all surfaces are properly prepared before application.
We reserve the right to subcontract specialist elements of the work, such as scaffolding erection or specialist plaster repair, to trusted partners. We remain fully responsible for the quality of all subcontracted work.
2. Quotations & Estimates
All quotations are provided free of charge following an on-site survey of the property. Quotations are valid for 30 days from the date of issue unless otherwise stated. After this period, we reserve the right to revise pricing to reflect changes in material costs or labour availability.
Our quotations are fixed-price for the scope of work described. Should additional work be required — for example, unforeseen damp, structural damage, or additional preparation beyond what was reasonably anticipated — we will inform you before proceeding and provide a supplementary quotation for your approval.
Quotations include all labour, materials, and equipment unless explicitly stated otherwise. VAT is included where applicable and will be shown separately on invoices.
3. Payment Terms
For projects up to £2,000, payment is due in full upon completion and your satisfaction with the work. For projects exceeding £2,000, payment is structured as follows:
- A deposit of 20% is due upon acceptance of the quotation to secure your project dates.
- A further 30% is due at the midpoint of the project.
- The remaining 50% is due upon satisfactory completion and your sign-off.
We accept payment by bank transfer, debit card, and credit card. Invoices are due within 14 days of issue. We reserve the right to charge interest on overdue payments at 4% above the Bank of England base rate, in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.
4. Cancellation & Rescheduling
You may cancel or reschedule your project under the following terms:
- More than 14 days before the start date: Full refund of any deposit paid.
- 7–14 days before the start date: 50% of the deposit will be retained to cover scheduling and material procurement costs. The remainder will be refunded.
- Less than 7 days before the start date: The full deposit is non-refundable, as materials will have been ordered and crew schedules committed.
If we need to reschedule due to unforeseen circumstances such as extreme weather or supply chain disruptions, we will notify you as soon as possible and propose alternative dates at no additional cost.
For domestic clients, the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 may apply. Where these regulations grant you a 14-day cooling-off period, we will honour that right in full.
5. Liability & Guarantees
We carry comprehensive public liability insurance to a minimum of £5,000,000 and employer's liability insurance as required by law. Certificates are available upon request.
All interior painting work is guaranteed for a period of two years from the date of completion, covering defects in workmanship such as peeling, blistering, or cracking that arise under normal conditions. Exterior painting work is guaranteed for 18 months. These guarantees do not cover damage caused by structural movement, water ingress, or third-party interference.
We will take all reasonable care to protect your property, furnishings, and flooring during the course of work. In the unlikely event that damage occurs as a direct result of our negligence, we will repair or compensate you in full.
Our liability for any claim arising from our services shall not exceed the total contract value of the project in question, except in cases of death or personal injury caused by our negligence, for which liability is unlimited.
6. Complaints Procedure
We are committed to delivering work of the highest standard and take all feedback seriously. If you are dissatisfied with any aspect of our service, please follow these steps:
- Raise it immediately: If you notice an issue during the project, please inform your project manager or lead decorator straight away so we can address it on site.
- Contact us in writing: For post-completion concerns, email us at info@mayfairpaintersdecorators.co.uk with a description of the issue, including photographs where possible.
- Inspection and resolution: We will arrange an inspection within five working days. If the complaint is upheld, we will carry out remedial work at no charge within a mutually agreed timeframe.
- Escalation: If you remain unsatisfied, you may escalate your complaint to the Painting & Decorating Association or seek mediation through an Alternative Dispute Resolution (ADR) provider.
7. Property Access & Client Responsibilities
You are responsible for providing safe and reasonable access to the areas where work is to be carried out. This includes clearing furniture and personal items from work areas unless otherwise agreed in the quotation.
If access is restricted or delayed, resulting in additional time on site, we reserve the right to charge for the additional time at our standard day rate. We will always discuss this with you before incurring any extra cost.
8. Governing Law
These terms and conditions are governed by the laws of England and Wales. Any disputes arising from or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
If any provision of these terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
